1. General Terms
These terms apply to services of Aurora Hunting (All About Lapland Ltd), purchased by the person paying for the services (Client).
The tour is performed by the Aurora Hunting guide in English unless otherwise stated or agreed.
2. Booking and Payments
By completing the payment, you agree to these terms and conditions, as well as the cancellation & refund policy. The tour booking is confirmed after it is paid in full. Prices include VAT 25.5%, according to the taxation laws of Finland.
3. Cancellation Policy and Refunds
If cancelled by the Client:
- 30 calendar days or more before the tour date: 100% refund
- 15–29 calendar days before the tour date: 50% refund
- Less than 15 days before the tour date: 0% refund
- If the Client does not attend the tour or is more than 10 minutes late for the agreed pickup: 0% refund
Cancellation resulting from the Client’s failure to provide a valid pickup address is handled according to Section 6.
If cancelled by Aurora Hunting:
- If the tour is cancelled before departure for reasons not caused by the Client: 100% refund, unless the Client accepts rescheduling under Section 4
Aurora Hunting reserves the right to cancel the tour at any moment after the booking was made. Cancellation will be communicated by WhatsApp.
If the tour departs:
- If no clear skies are found and the aurora is not photographed: 100% refund, unless the Client accepts rescheduling under Section 4
- If clear skies are found or the aurora is photographed, but it is not visible to the naked eye: 50% refund
- If the aurora is visible to the naked eye, regardless of its duration or size: no refund
The aurora is considered visible to the naked eye when its light or structure can be reasonably distinguished by the Aurora Hunting guide.
Refunds are processed within 5–10 business days by our payment service provider. Refunds can only be returned to the original payment method.
4. Rescheduling After Cancellation or an Unsuccessful Tour
Any backup date must be within five calendar days after the original tour date, unless Aurora Hunting agrees otherwise in writing. Providing a backup date does not guarantee rescheduling or automatically change the original tour date. Rescheduling depends on Aurora Hunting’s availability and the weather forecast for the proposed date.
If Aurora Hunting cancels the original tour before departure, or if the tour departs but no clear skies are found and the aurora is not photographed, rescheduling will normally be offered first. If Aurora Hunting cannot offer a replacement date, the Client will receive a full refund. The Client may also decline the proposed replacement date and request a full refund.
Rescheduling is confirmed when the Client accepts the replacement date in writing, including by WhatsApp or email. Once accepted, the replacement date becomes the new tour date under the booking contract. The booking remains fully paid and confirmed, and the refund option resulting from the cancellation or unsuccessful outcome of the original tour ends.
If the Client subsequently cancels, requests another date, does not attend the tour or is more than 10 minutes late for the agreed pickup, no refund is available. The Client cannot withdraw their acceptance of the replacement date to claim a refund based on the cancellation or unsuccessful outcome of the original tour.
If Aurora Hunting cancels the rescheduled tour, the Client may accept another date offered by Aurora Hunting or request a full refund.
5. Tour Departures and WhatsApp Communication
The departure time depends on weather and aurora conditions and is usually between 14.30 and 20.00. The exact time is communicated by WhatsApp.
The Client must provide a working WhatsApp number with the international country code and check messages before and on the tour date. If WhatsApp cannot be used, another method of written communication must be agreed in advance in writing.
Messages sent to the number provided during booking are considered valid communication. If the Client misses the tour because the number does not work or messages are not checked, the Client is treated as a no-show and no refund is available.
6. Pickup Area and Address
Pickup is included from an agreed address within 10 kilometres by road from coordinates 66.504004, 25.729378 in Rovaniemi city centre. The distance is measured using the shortest normal driving route shown by Google Maps, not as a straight-line radius or by Rovaniemi’s administrative boundaries.
Pickup outside this area requires written approval from Aurora Hunting and may cost extra.
The Client must provide a complete and accurate pickup address. If the address is outside the pickup area and has not been approved, the Client must provide an alternative pickup point within the area by the deadline given by Aurora Hunting and reach it independently.
If no valid pickup point is provided by the deadline, Aurora Hunting may cancel the booking and refund the payment minus the actual non-refundable payment-processing fees. This is not considered a cancellation by Aurora Hunting under Section 3. No other fee will be deducted.
A pickup address may be changed only if requested and accepted in writing. Until then, the most recently confirmed pickup point remains binding.
If the Client cannot attend the confirmed pickup point, goes to an unapproved pickup point, fails to arrive or is more than 10 minutes late, the booking is treated as cancelled by the Client under Section 3.
7. Liability
Aurora Hunting (All About Lapland Ltd) is not liable for any accidental damage or injury which has to be indemnified under the travel insurance of a customer. Program services can be physically demanding (such as walking in the deep snow), and the participants may be exposed to physical strain or cold weather, as well as sitting in the van for a prolonged period of time. In case of illnesses or disabilities (including but not limited to heart disease, asthma, diabetes, epilepsy, back or hip problems, sensitivity to smell, dementia, nausea, stomach or inner organ problems etc.) that could affect your ability to take part in the programs, or in case of pregnancy, you should consult medical experts prior to participating in the programs. By taking part in the programs you understand and accept the risks.
8. Liability Insurance
Aurora Hunting (All About Lapland Ltd) has a general third-party liability insurance for bodily injury and property damage according to the terms and conditions of insurance company “OP Vakuutus”.
9. Force Majeure
Aurora Hunting (All About Lapland Ltd) shall not be held liable for any default, damage or loss due to a condition of force majeure or due to a similar cause (including but not limited to airspace restrictions, terrorism, pandemic or outbreak of a disease, war, strike, extreme weather, other natural condition etc.).
10. Applicable Law and Jurisdiction
Terms and conditions shall be governed by and construed in accordance with the Finnish law. The Finnish courts shall have the exclusive jurisdiction to settle any dispute, controversy or claim. First instance shall be The District Court of Lapland – Lapin Käräjäoikeus in Rovaniemi, Finland.
11. Severability
If any part, term or provision of these terms and conditions is partly or wholly held invalid, illegal or unenforceable, the validity or enforceability of other provisions, extent part and remainder of these terms and conditions shall remain in full force and effect.
12. Changes to These Terms and Conditions
These terms and conditions can be changed at any time without further notice by Aurora Hunting (All About Lapland Ltd). Changes will not apply to bookings placed prior to changes to these terms and conditions.
